Sync the global address list to iPhone and Android
A customer calls, the screen shows only a number. Yet the customer has long been in the company address book. That is not a fault of the phone but a gap in Microsoft 365: the global address list is a directory on the server, not an address book on the device. This post explains why that is so, what the built-in options can really do, and which four ways get company contacts reliably onto every smartphone.
What the global address list is and what it is not
The global address list, or GAL, is the directory of all mailboxes, groups, contacts and shared mailboxes of a Microsoft 365 tenant. Outlook uses it when addressing an email, and the Outlook app on the phone can search it. Both happen online, hit by hit. The phone itself stores none of it.
The phone’s address book is something else. It holds the personal contacts synced from the contact folder of your own mailbox, plus local and private entries. Only this address book is used by the phone for caller ID, for text messages, WhatsApp and the hands-free system in the car. Whatever is not in the address book remains a bare number.
What the built-in options can do
Before buying a tool, it is worth looking at what Microsoft itself offers. The answer is sobering, but clear.
| Built-in option | What it does | What is missing |
|---|---|---|
| Outlook app (iOS, Android) | Searches the GAL online as you type a name. | No entries in the phone’s address book, no caller ID. |
| Exchange account on the phone | Syncs the contact folder of your own mailbox. | The GAL is not a contact folder and is not transferred. |
| Public folders with contacts | Central contact folder for everyone in Outlook on the PC. | Mobile devices do not sync public folders. |
| Shared mailboxes | Shared contact folder, can be opened on the PC. | On the phone only through workarounds, not in the address book. |
| Intune / MDM | Distributes apps, accounts and policies. | Distributes no contacts. |
| CSV or vCard export | One-off import into the address book. | Out of date from day one, no updates, no deletions. |
The CSV export is the classic born of necessity. It works exactly once. After that, extensions change, new colleagues arrive, customers move to other companies, and every phone has its own state. Anyone who has done this twice looks for automation.
Four ways to get company contacts onto all phones
1. Everyone maintains their own: manually, as needed
Employees search for a person in the Outlook app and save them as a contact. That costs nothing and needs no setup. It simply does not scale: with twenty people it works, with two hundred customers and fifty colleagues nobody keeps up. The data drifts apart, and people who have left stay in the address book for ever.
2. Export centrally and distribute
IT exports the GAL as CSV and imports it into the mailboxes, for instance via PowerShell. That is a copy, not a synchronisation. Changes and deletions do not arrive, and duplicates appear on the next import. Usable as a stopgap, a maintenance burden as a permanent state.
3. A sync service writes into the mailbox
A service reads the desired entries from Microsoft 365 and writes them as contacts into a dedicated contact folder of every mailbox. From there Outlook shows them by itself, and through the Outlook app they reach the phone’s contacts app. No extra app or MDM is needed. If the service runs daily, the address book stays current, deletions included. This is how CiraSync and GALYNSKI work.
4. A platform for many systems
Platforms such as sync.blue® connect dozens of systems with each other, among them Microsoft 365, CRM systems and phone systems, and according to the vendor also bring contacts into the smartphones’ native address books. That is the right way if contacts are to flow between different platforms or the phones are to be up to date every hour.
Which contacts should be distributed at all
The whole GAL on every phone is rarely the right answer. It contains rooms, devices, functional mailboxes and people nobody ever calls. Distribution by recipients is better:
- All employees get their colleagues, so that internal calls have a name.
- Sales additionally gets the customer contacts from a shared mailbox or a SharePoint list.
- Service gets the suppliers and the technicians’ hotlines.
- Management gets the advisory board, the bank and the consultants.
Microsoft 365 has sources enough for this: the GAL itself, Microsoft 365 groups, the contact folder of a shared mailbox, a SharePoint list maintained by the assistants, or the external contacts from the Exchange admin centre. A good tool lets you combine source and recipients freely. How GALYNSKI handles the five sources is described in the documentation (German).
Data protection: contacts are personal data
Anyone handing company contacts to a service processes personal data on behalf of the company. Three things therefore belong in every decision:
- A data processing agreement under Art. 28 GDPR with a list of sub-processors.
- The hosting location and the question whether data leaves the EU.
- What happens to the distributed contacts when the contract ends.
With GALYNSKI, the DPA, the sub-processors and the technical measures are published on the website; hosting is in the EU, and 14 days after the contract ends the contact folder it created is removed from the mailboxes again.
What the route with GALYNSKI looks like
- Register without payment details.
- Choose a plan and pay by card or SEPA direct debit; nothing is charged until after 14 days.
- Connect Microsoft 365: as an administrator, grant the permission (admin consent), one click.
- After connecting, the global address list is already set up as a source for all users; add further sources and recipients yourself, up to ten sources.
- The first run starts automatically, then daily in the window between 02:00 and 05:00.
Small teams are done in a few minutes; for large organisations the first run takes longer. After that the contacts are in Outlook, with no extra app and no MDM. They reach the contacts app through the Outlook app: on Android with “Sync Contacts”, on the iPhone with “Save Contacts”. More in the guide Company contacts on Android. Frequently asked questions
Why does my iPhone not show a colleague’s number with a name?
Caller ID uses only the phone’s local address book. The global address list from Microsoft 365 lives on the server and is queried by the phone only during an active search. As long as the contact is not stored as a personal contact in the mailbox, the number stays unknown.
Can Microsoft 365 distribute the global address list to all phones automatically?
No. Exchange Online syncs only the contact folders of each mailbox. The GAL is a directory, not a contact folder. Intune distributes apps and policies, but no contacts. That takes a tool that writes directory entries into the mailboxes as contacts.
Do employees need an app on the phone?
No extra app and no MDM if the tool writes the contacts into a contact folder of the mailbox. Outlook shows it by itself; the contacts reach the contacts app through the Outlook app. GALYNSKI works this way; according to the vendor, so does CiraSync.
What happens to the distributed contacts when someone leaves the company?
The contacts live in the employee’s mailbox. If the mailbox is disabled, they disappear with it. With GALYNSKI, the contact folder it created is also removed 14 days after the contract ends.
